ERP Project Planning
ERP applications are designed to address the most complex business requirements. They provide comprehensive business and industry solutions, enabling organizations to increase productivity, accelerate business performance, and provide a lower cost of ownership.
The objective is to provide comprehensive professional project management services for the Project in a manner to fulfill the terms of the agreement. Project management functions include: initiation; planning; communication and status reporting; schedule management; meeting management; risk management; change management; issue management; documentation management; protocols and administration of formal review and sign-off of deliverables by stakeholders; and project closeout, and are to be performed in accordance with the established project management framework. The project management framework and methodology are established during contract negotiations and revised only upon written approval by the Project Executive Steering Committee.
iLynx’s approach to Project Management includes four (4) phases:
Project Concept/Initiation determines the scope of development. If this phase is not performed well, it is unlikely that the project will be successful. The key project controls needed in this phase are an understanding of the business environment and ensuring that all necessary controls are incorporated into the project. Any deficiencies would be reported and a recommendation would be made to the client to fix them. Personnel at this stage include the Project Manager, Project Governance and core project teams. As iLynx meets with all stakeholders with the client, we will leverage a broad set of disciplines (including expertise with strategic planning, project management, business analysis, change management and communications) to define the target future state and drive transformational process improvement, project execution and implementation.
Project Planning finalizes the detailed initiation process and requirements (technology, hardware, software, data, and functionality), which involves finalizing the project scope, schedule, resource requirements, quality and risk concerns, and any organizational (e.g., centralization versus decentralization) issues. As the project begins to take shape, iLynx works with the client to drive the project methodology over the course of the project, and ensures completion of all the software life cycles.
Project Execution replaces previous software with the new ERP package. The most important aspect of this phase is to ensure that project activities are properly executed and controlled. During the execution phase, the planned solution is implemented to solve the specified problem. The execution phase includes the implementation of the design or plan. In software systems, this includes conversion (transfer of data from an old system to a new system), documentation, and training. iLynx communicates regularly with the client to ensure that the project stays on target, scope, cost and timeline. We create project documentation that tracks our progress. Training is also important because it helps users apply and analyze the software correctly. The bulk of the project's work and largest capital expenditure is realized in this stage. iLynx ensures that all vendors involved in the project are acting in the best interest of the client and per contract terms.
Project Closure Finalizes ERP implementation/upgrades, carrying out any bug fixes, responding to enhancements that were not included in the original implementation, and preparing a final report. The report includes a critique of what went right and what went wrong over the life of the project so that lessons learned may be documented and incorporated into future projects.
